Send to Folder
The Send to Folder page is used to enable, disable, and configure the send-to-folder capabilities on the Multi-Function Peripheral (MFP) device and to create predefined folders.
Enable Send to Folder
Select Enable Send to Folder to enable send-to-folder capabilities on the MFP device. After selecting Enable Send to Folder, press ENTER or click Apply at the bottom of the page.
Predefined Folders
Predefined folders are destination locations for files or documents you scan from the MFP. You can create a set of predefined folders, allowing MFP users to quickly set up the MFP to scan and send a document to a commonly-used folder.
Alias Name - The Alias Name is used to name each folder destination. When sending a document to a folder from the MFP, the alias name is displayed as a check box selection. The alias name will be unique for each folder destination.
Adding a Predefined Folder
To add a new predefined folder:
- Click Add.... This will allow you to create and test a new predefined folder.
- Press ENTER or click Apply to save the changes to the predefined folder. Click Cancel to discard any changes.
- The new predefined folder will appear in the Predefined Folders list. The alias name for each folder will be shown in the list.
Editing or Viewing a Predefined Folder
To edit or view a predefined folder:
- Select a folder from the Predefined Folders list.
- Click Edit to view or edit the settings for the predefined folder.
- Press ENTER or click Apply to save the changes to the predefined folder. Click Cancel to discard any changes.
Removing a Predefined Folder
To remove a predefined folder:
- Select a folder from the Predefined Folders list.
- Click Remove... and press ENTER or click OK to confirm. The selected folder will be removed.
- Repeat the above steps to remove additional folders, or use the Remove all... button as described below.
Removing All Folders
To remove all folders:
- Click Remove All....
- Press ENTER or click OK to confirm. All folders will be removed.
Testing a Predefined Folder
To test that a predefined folder is accessible by the MFP device:
- Select a folder from the Predefined Folders list.
- Click Test Folder Access. If MFP user credentials are to be used to access the folder, you will need to provide the MFP user credentials to complete the test.
- When completed, a message box will be displayed indicating the test results.
Default File Settings
Filename Prefix
Use the Filename Prefix setting to uniquely identify files that come from an MFP device. Each MFP can be configured with a unique prefix.
To enable a default prefix for each MFP:
- Select Enable Default Filename Prefix.
- Type a three-letter prefix in the Filename Prefix field.
The prefix will be appended to the beginning of the filename for every file that is saved to a folder.
Create Folder based on User Logon name
Selecting the Create Folder Based on User Logon Name setting will enable all files to be sent to a directory at the folder destination.
The name of the directory will be the username logged in to the MFP. If the directory does not exist, it will be created in the destination folder.
If authentication is not used, then the public user logon name will be used as the directory name.
File Format
Use the File Format setting to indicate the file format in which the meta data will be created.
The format is usually dictated by the third-party application.
Please refer to the documentation with your third-party application for more information on which format to select.
File Format Options
- None - No meta data files will be created.
- XML - Meta data will be provided in XML format.
- HPS - Meta data will be provided in HPS format.

Meta Data File Settings
Use the Meta Data File Settings to indicate the format in which the meta data is delivered to a third-party application.
Meta data files contain information for each document scanned, including the name of the MFP device and attributes of the file. The files will be placed in the folder destination.
Credentials to Access Public Folders
Use the Credentials to Access Public Folders setting to configure access to a public folder.
Public folders are folders that all users at an MFP can use. They do not require the user to log on at the MFP.
- Domain - Specify the domain to be used for authentication credentials.
- Username - Specify the username to be used for authentication credentials.
- Password - Specify the password to be used for authentication credentials.
Default Document Settings
- Color Preference - Select the default color of the scanned document from the Color Preference drop-down list.
- Resolution - Select the default resolution of the scanned document from the Resolution drop-down list.
- File Format - Select the default file format of the scanned document from the File Format drop-down list.
- Default File Size - Select the default file size of the scanned document from the Default File Size drop-down list.
Send to Folder Network Settings
- WINS Server - Use the WINS Server setting to specify either the host name or IP address of the WINS server. This setting is necessary if Windows paths and folders are used as folder destinations. The WINS server must be specified when the path to the workstation or server is of the form \\host-name\\share. If the hostname is specified as an IP address (e.g. \\192.000.0.1\Topfolder), then a WINS server does not need to be provided. In this case, set the WINS server to be 0.0.0.0. After specifying this setting, click Apply.
- NTLM Authentication Setting - Use the NTLM Authentication setting to specify the authentication setting in use by the server/workstations as specified in the public and personal folders.
- Win 95, Win 98 and Win ME hosts - Select Send LM and NTLM encrypted password.
- Win NT (earlier than service pack 4) - Select Send NTLM encrypted password.
- Win NT service pack 4 - Select Use NTLM V2 Authentication.
- Win 2K or later operating systems - Select Use NTLM V2 Authentication.
- Mixed devices - Select Send LM and NTLM encrypted password.
